1. Information We Collect

We collect information you provide directly when registering a trial, adding field technicians, dispatching work orders, and logging OHS safety audits:

• Account Information: Company name, registration number (CIPC), primary admin email, and mobile phone number.
• Worker Details: Full names, assigned vehicle registration plates, trade disciplines, and contact numbers.
• Geographic Location Coordinates: Discrete latitude/longitude fixes recorded at clock-in/out and work order execution checkpoints.
• Job Card & Billing Data: Service addresses, client names, parts consumed, and payment status via Paystack.

2. Purpose of Data Processing

We process personal information strictly to:

• Validate geofenced clocking within 150 meters of contracted work sites.
• Calculate BCEA regular and overtime timesheets for accurate payroll processing.
• Track COIDA Letters of Good Standing and B-BBEE rating expiration deadlines.
• Provide digital tax invoices and Paystack checkout links.

3. Third-Party Service Providers

We work exclusively with vetted, enterprise-grade technology partners:

• Google Cloud BigQuery: Managed data warehouse located within SOC 2 / ISO 27001 certified data centers.
• Paystack (Pty) Ltd: PCI-DSS Level 1 compliant payment processor for South African ZAR credit card and instant EFT transactions.

4. Data Retention & Disposal

Location logs are retained for 90 days. Statutory timesheet, OHS compliance, and tax invoice records are retained for 5 years pursuant to South African labour and tax regulations, after which they are securely purged.
